Will this match our state's requirements?
Yes. There's no federal drill mandate — every state sets its own list — so ActaDrill ships a library of 15 drill types covering everything required somewhere in the U.S., plus custom types for anything local. Your district enables what applies, then sets its own counts, due dates, legal windows, and completion questions. Rules are configuration, not code.
Does it store student data?
No. ActaDrill holds staff accounts and drill records — dates, times, durations, answers, signatures. No student names, rosters, or records ever enter the system, which keeps your FERPA surface at zero for this tool.
What happens when there's no signal in the building?
The drill saves on the device, appears in the log marked pending sync, and uploads automatically the moment a connection returns. A failed upload stays queued — a compliance record is never dropped by weak Wi-Fi.
Can a record be edited after the fact?
Staff can't edit or delete records at all. District admins can amend limited fields, but every amendment requires a written reason and is appended to a permanent audit trail — enforced on the server, not just in the app. The original values stay visible.
What does it run on? Do we need an app store or new hardware?
Any modern browser on any phone, tablet, or computer your staff already have. It installs to the home screen like an app — no app store, no MDM push, no IT project. It follows each device's light or dark preference automatically, and updates reach everyone instantly.
What does ActaDrill not do?
No panic buttons, 911 dispatch, visitor screening, reunification, or SIS integration — by design. It focuses entirely on drill compliance and runs alongside whatever safety platform handles the rest.
Can staff sign in with our Google accounts? What if we don't use Google?
Yes. Single sign-on works with Google Workspace, and staff without it get an ordinary email and password — a personal address is fine. Either way accounts are invitation-only: a district administrator invites an address, and only that address can claim it. There is no public sign-up. Because the system holds no student data there's no rostering to integrate, so SSO here is purely authentication — a settings change, not a project.
Is it accessible, and can you give us a VPAT?
Yes to both. The app is built to WCAG 2.1 Level AA — the standard the DOJ's Title II rule requires of districts by April 2027 or 2028 depending on size, including the tools they buy — and we ship a completed VPAT 2.5 (Section 508 edition) on request. It's written honestly: it names the criteria we only partially meet and what we're doing about them. Contrast is measured automatically in both light and dark themes on every release.
Someone left mid-year. How fast can we cut off access?
Immediately, and you do it yourself — Admin → Users → Deactivate. Access stops at the server on their very next request. Accounts are deactivated rather than deleted, because drill records must keep naming who logged and attested them; a deactivated person can be reactivated later if they return.
Where does our data live, and who can see it?
Data is hosted on Google Cloud (Firebase) in US regions. School staff see their own school; district administrators see the district. That boundary is enforced in the database's own security rules — not by hiding buttons in the interface — and 39 automated tests prove it on every change we make, including that one school cannot read another's drill records. Your district owns its data and can export every record — drills, schools, and the full audit trail — as CSV or JSON from the Admin tab at any time, without asking us.
